Privacy Policy

 

This privacy notice explains how and why we collect, manage, protect and use personal data about our clients, volunteers, staff, directors and donors. It covers all our services including the Resource Club, Meals on Wheels and Solar. 
Cùram Thiriodh is committed to protecting your privacy. Should we receive, or ask you to provide certain personal information by which you can be identified, then you can be assured it will only be used in accordance with this Privacy Policy. We take the safety and security of any information you provide us with seriously and this notice is intended to 
assure you of that and explain how and why we use the information that we hold.  This document is part of how we ensure that we are compliant with the EU General Data Protection Regulation (GDPR) as embodied in the UK Data Protection Act 2018, effective from 25 May 2018. Not all the information you share with us needs to be committed to a formal written or computer record. Although such unstructured information is not covered by the Data Protection Act 2018, to ensure that we protect your privacy we will apply the same high standards as if it was. These standards are described in this document. Sensitive information will only be shared with other Cùram staff or volunteers who need to have this knowledge to deliver the right service to you. We will never share such information with any third parties. 
Our lawful basis for processing data 
We process and store personal information in pursuit of our key objectives and we do so on the basis of your consent.   
We also process your data where it is necessary to carry out a contractual relationship (for example, to raise invoices or to pay expenses).  It is important to us that we retain the trust and confidence of everyone with whom we are in contact. We promise never to sell or pass on your personal data and to use it only to keep you informed about Cùram.  
What information we collect   
Your personal details will only be used in a way you would reasonably expect, or have agreed to.  
We require some information to allow us to provide the service to you, to manage staff employment and to assign volunteers to tasks:  
•  Your name  
•  Your contact details (postal address, email address, phone number)  
•  Duration of referral, employment or  relationship 
•  Personal details relevant to your situation, e.g. specific dietary needs, number of 
people in the family, age of children, number of pets, etc.   
We will only collect this information if there is a clear reason for doing so and with explicit 
consent. You are under no obligation to provide this information, but if you do not then we 
may not be able to provide you with the tailored support you need.  
How we use your data 
We use the information you give to us in order to:  
•  Fulfil your requests and to give you the information, support or services you ask for;  
•  Keep a record of your relationship to us, details of any contact or communication which we have with you and to comply with our administrative duties;  
•  Prepare invoices and calculate expense payments; 
•  Process donations and other financial payments;  
•  Anonymised data are used to compile annual figures, e.g. number of children supported;  
•  Record your consent to host cookies on your electronic device when you visit a Solar or Cùram website, the information gathered by these cookies is to make it easier for you to access the information you need. We also use Google Analytics to produce reports on how people are using our websites, all analytical reports are anonymised  (see the separate Cookie Policy on each website); 
•  Carry out statistical analysis in order to develop organisational strategy and help us to understand how we can improve our services and meet the needs of people that require our help.   
Your personal details (name and contact information) are stored for a maximum of 3 months or the duration of the referral (whichever is longer).   We store some anonymous demographic information (age category, family situation, 
gender, reason for referral). We use these data to help collate reports and grow our service, including for grant applications to funders, but the data is used anonymously. Sharing this information helps us and our funders to understand our work and measure our achievements.  
 Your rights and preferences 
We will always try to ensure that the data we hold is correct, appropriate and up-to-date. 
You have the right at any time to:  
•  Be informed about how we use it (the purpose of this document); 
•  Access or request a copy of what we hold about you;  
•  Update your information;  
•  Ask us to remove your details from our records;   
•  Be advised if there is a data breach.  
 With your consent, we would like to keep you informed of our news, information, fundraising events and campaigns so we can continue to raise income and awareness of Cùram Thiriodh. We offer you the option to tell us what type of information you would like to receive and how you prefer to hear from us: by post, email, phone or SMS.  If you choose 
for us to contact you by email, every message we send will include a link to enable you to change your preferences or to opt out of receiving future messages and alerts.
